What is the content of this article?

The article deals with the use of the function of manual e-mailing of registered subscribers within the platform.

The function allows to manually select different sets of templates and send them to individual users to ensure even a complicated handling of subscriber management.




Where can I find the Manual E-Mal Sending function?

If you switch to the event user overview on the event level, you will find a list of all users who are already registered for the event.

By clicking on the three-dot-menu you get to a selection field.

Here you can select "Send manual e-mail".

How does manual emailing work?

After navigating to the manual email dispatch, a mask opens which allows you to select the different email templates.

  1. First select the desired language.
    Attention: When sending emails manually, the selected notification template language will be sent and not the notification template language entered for the event user.
  2. Then you can choose between the different templates (example image Speaker).
  3. Press "Send" to activate the manual mail dispatch.

When is which template available for manual e-mail dispatch?

Manual e-mailing is restricted for certain scenarios and user groups for logical reasons. This also serves to ensure data privacy compliance of the platform.

If the Double Opt is not yet completed or the government approval is still pending, only the "Double Opt In" template and the "save the date" template can be sent.

Once accepted or rejected, all templates (without OTP) can be sent again. This applies to both speakers and participants.

The following shows which requirements are necessary for the selection of the templates.



Participant invitation

  • Can only be selected for one participant
  • If the double opt-in was selected during user registration, it must already have been confirmed by the participant.
  • If registration approval was selected during user registration, this must have already been done.


2nd reminder (participant)

  • Can only be selected for a participant
  • If Double Opt In was selected during user registration, it must have already been confirmed by the participant.
  • If registration approval was selected during user registration, this must have already been done.


Speaker Invitation

  • Can only be selected for a speaker


2nd reminder (speaker)

  • Can only be selected for one speaker


Double Opt In

  • If Double Opt In was selected during user registration and has not yet been confirmed by the participant.


SignUp Confirmation

  • If registration approval was selected during user registration and the approval is still in Pending status.


SignUp Rejected

  • If registration approval was selected during user registration and the approval is already in the status Accepted.


Save the date

  • If Double Opt In was selected during user registration, it must have already been confirmed by the participant.
  • If registration approval was selected during user registration, this must have already been carried out.


1st reminder

  • If the Double Opt In was selected during user registration, this must have already been confirmed by the participant.
  • If registration approval was selected during user registration, this must have already been carried out.


Follow up show

  • If Double Opt In was selected during user registration, it must have already been confirmed by the participant.
